RUCOM AI POLICY

Institutional AI refers to AI platforms and tools that are provided, licensed, or supported by Roseman University College of Medicine (RUCOM) or its parent institution. These may include institutional accounts for third party AI tools such as Co-Pilot through your Roseman Microsoft 365. These platforms are configured to comply with institutional data privacy, security, and ethical standards. In contrast, Public AI tools—such as ChatGPT, Co-Pilot, and Claude—are publicly available online and operated by third-party providers. Public AI tools often process data externally and may not guarantee compliance with institutional or regulatory data protections (such as FERPA, HIPAA, or GDPR). Therefore, when handling sensitive academic, research, or clinical data, Institutional AI tools should always be prioritized. Registering for a public AI tool with a Roseman email does not authorize its use for sensitive or protected information unless the tool is formally licensed and supported by the College.

Accessing Microsoft Copilot

The official approved way of gaining access to the RUCOM Copilot AI is to go to https://www.office.com and use your Roseman credentials to login. 
Once you are logged in, click on the Copilot software from the Apps section on the left hand side if the AI system did not already self load.

EndNote premium subscription is available on your EndNote that is downloaded on your Roseman laptop. 
A site-licensed EndNote 2025 can be accessed via the cloud through a free, connected EndNote Online account, which allows you to sync your library for backup and access it from anywhere."
